Terms of Service

This Agreement governs the services provided by Jema Studios, across three areas: weddings, the Jema Space, and portraits and events. It becomes binding once you confirm a booking, by making payment or signing a service agreement, and reflects our workflow, delivery standards and creative practices for the 2026–2027 season.

Weddings

1. Engagement of services

The Client engages Jema Studios to provide photography and/or videography services as described in the Client's selected package and invoice (the “Services”). Services, coverage hours, team size, deliverables and pricing are defined by the selected package, the issued invoice, and any written addendum agreed by both parties.

The Studio assigns a Lead Photographer, Cinematographer or Team Lead to the event. Jema Studios operates from Accra, New York, Toronto and Amsterdam.

2. Booking process

To secure a booking: the Client reviews the rate card, submits an inquiry, the Studio issues an invoice, the Client pays the booking retainer, and the booking becomes confirmed. Confirming a booking signifies acceptance of this Agreement.

Following confirmation, questionnaires are issued, a creative consultation is scheduled, a team lead is assigned, and pre-production planning begins.

3. Payment terms

Retainer. A 30% booking retainer is required to secure the event date. The retainer is non-refundable, applied toward the total service cost, and is compensation for reserving the date.

Remaining balance. The payment schedule is defined on the Client's invoice. Outstanding balances must be cleared before the day of the event or final delivery, unless otherwise agreed.

Additional charges may apply for extra hours, additional deliverables, retouching beyond package scope, travel and accommodation, express services, and extended edits or revisions.

4. Client information & questionnaire process

To ensure excellence in preparation and storytelling, the Studio operates a structured system of up to three questionnaires, each with a distinct purpose:

  • Client & Event Information Form, contact details, event logistics and core planning, sent shortly after booking.
  • Production Readiness Form, timelines, vendor coordination, ceremony structure and coverage priorities.
  • Creative Direction & Film Preferences Form, storytelling, film mood and music, album considerations and post-production guidance.

For time-sensitive bookings, the Studio may issue a single consolidated (express) questionnaire. Clients agree to provide accurate information, submit forms on time, and notify the Studio of changes to timelines, venues or logistics. The Studio is not responsible for issues resulting from incomplete or inaccurate information.

5. Coverage, arrival and departure

Arrival times: weddings, 60 minutes before the ceremony; general events, 30 minutes before the start. Coverage ends based on booked hours, and time begins when the team arrives at the agreed location. Additional hours incur additional charges unless pre-approved.

6. Team structure

Team size depends on the selected package. For events exceeding 100 guests, an additional photographer is strongly recommended. A Creative Director may be present depending on package scope and client needs. All team members are trained professionals capable of work consistent with the Studio portfolio.

7. Travel and accommodation

For events outside the Studio's base city, the Client covers transportation, accommodation and destination-specific costs. The Studio may require arrival one day prior for preparation; accommodation must be safe, reputable and reasonably close to the venue.

International travel. The Client covers visas, flights, accommodation, local transportation and equipment logistics where applicable. All travel bookings require Studio approval, and confirmed travel arrangements are non-refundable.

8. Image delivery and selection

Unprocessed JPEGs. Clients receive unprocessed JPEG images, captured directly from the event without editing, within 7 working days where applicable. This applies to all packages.

Studio-led selection. Jema Studios selects the images for editing in all packages, ensuring storytelling consistency, delivery efficiency and brand-level quality control. The Studio retains full discretion in image selection.

9. Editing and retouching

All selected images receive professional editing, colour correction, exposure, cropping and signature Studio styling. Retouched images (R#) include detailed refinements such as skin adjustments, hair and makeup corrections, distraction removal and advanced colour grading. Additional retouching may be requested at extra cost.

10. Delivery timelines

  • Unprocessed JPEGs: 7 working days.
  • Edited gallery: 21 working days.
  • Film trailer: 21 working days.
  • Full film: up to 90 working days.
  • Albums and frames: 90–120 working days.

Clients receive one revision round for video deliverables; revision requests may affect delivery timelines. Express delivery is available at additional cost. Deliverables may be picked up at the studio or delivered at the Client's expense.

11. Publication and portfolio use

Jema Studios may feature selected work on its website, blog, social media, printed portfolio, studio samples and marketing materials, based on storytelling value and brand alignment. Publication is not guaranteed unless included in the Client's package.

Where included, the Studio may provide up to 10 curated photographs, a highlight reel and a blog feature, for a publication period of up to 30 days. The Studio retains full editorial control; publication does not transfer ownership or approval rights.

12. Copyright and client license

Jema Studios retains full copyright ownership of all images and video. Clients receive a personal-use license allowing social media sharing, printing, personal archiving, albums and gifts. Commercial use requires written permission.

13. Cancellation policy

The 30% booking retainer is non-refundable. Cancellation terms are governed by this Agreement and the Client invoice. Rescheduling requests are subject to Studio availability.

14. Creative control

The Client acknowledges that they have reviewed the Studio portfolio, that the Studio retains artistic discretion, and that the editing style remains consistent with brand standards. Creative disagreement is not grounds for a refund.

15. Limitation of liability

The Studio is not liable for venue restrictions, guest interference, weather, timeline delays beyond its control, equipment failure despite reasonable precautions, or force majeure events. Maximum liability shall not exceed total fees paid.

16. Force majeure

Neither party is liable for delays caused by illness, emergencies, natural disasters, travel disruptions, government restrictions, or events beyond reasonable control.

17. Governing law

This Agreement is governed by the laws of Ghana.

18. Final agreement

This document constitutes the entire agreement between the Client and Jema Studios. Any form of payment confirms acceptance of these Terms of Service.

The Jema Space

1. The Space

Jema Studios operates The Jema Space in Accra: a creative and event venue with several bookable areas, the Creative Studio, the Preparation Suite, the Podcast & Meeting Room, the Indoor Space, the Outdoor Space, and the Full Experience (the whole facility). Each area is described, with its capacity and starting price, on the rate card.

2. Booking and confirming a date

To book: you send an enquiry with your date, spaces and duration; we confirm availability; we issue an invoice; you pay the deposit; the date is then confirmed and held for you. A date is only held once the deposit is paid. An availability check, or a slot held online, is not a confirmed booking until the deposit clears.

3. How pricing works

Spaces are priced two ways. Some are hourly (the Creative Studio, Podcast & Meeting Room and Preparation Suite); the Preparation Suite is capped at a full-day rate, so a long day never costs more than the day price. The event spaces (Indoor, Outdoor) include a block of hours with a set rate for each hour beyond it. The Full Experience is a single flat price for the whole facility.

Booking both the Indoor and the Outdoor areas together is the Full Experience, priced as one, not as two areas added up. The current figures are on the rate card; your final quote depends on the date, the spaces, the hours and anything you ask us to support.

4. Deposit and payment

A 30% deposit reserves your date and is non-refundable. The balance is due no later than 7 days before your booking. A booking made inside 7 days of the date is paid in full, upfront. All Space payments are in Ghana cedis.

5. Duration, access and overtime

Your booking covers the hours reserved, beginning at the agreed start time; reasonable setup and pack-down happen within that window unless separately agreed. Time beyond your booked hours is charged at the space's hourly or overage rate and must be approved on the day.

6. Capacity and guests

Each space has a limit: the Indoor Space up to 60 guests, the Outdoor Space up to 150, the Full Experience up to 250, the Preparation Suite for around 2, and the Podcast & Meeting Room for up to 4. Limits depend on setup, seating, decor and event flow. Guest numbers must stay within the agreed capacity.

7. Vendors and external suppliers

You may bring your own vendors (caterers, decorators, planners and the like) with prior approval and subject to venue guidelines. Vendors are your responsibility, and we may ask for their details ahead of the day.

8. The kitchen and support areas

A kitchen and support areas may be made available to assist catering, refreshments and vendor preparation. They are support areas for your booking, not rented as standalone spaces.

9. Conduct, care and damage

Please treat the space as your own and leave it as you found it. You are responsible for the conduct of your guests and vendors during your booking. You are responsible for the actual cost of repairing or replacing any item, fixture, finish or part of the space that is damaged during your booking, beyond ordinary wear. We will always show you the cost before it is charged.

10. Photography and film

Jema Studios can provide photography, videography, content creation and event coverage as an add-on to a space booking, quoted separately.

11. Cancellation and rescheduling

The 30% deposit is non-refundable. A reschedule requested more than 3 months before your date is permitted subject to availability, and your deposit carries to the new date. Within 3 months of your date, a cancellation forfeits the deposit, and rescheduling is at our discretion and subject to availability.

12. Liability

We are not liable for guest or vendor conduct, weather affecting outdoor areas, third-party service failures, or events beyond our reasonable control. Our maximum liability shall not exceed the total fees you have paid for the booking.

13. Force majeure

Neither party is liable for delays or failures caused by illness, emergencies, natural events, utility or infrastructure failures, government restrictions, or other events beyond reasonable control.

14. Agreement

These terms, your invoice and any written addendum form the agreement for your booking. Paying a deposit, or any payment, confirms your acceptance of these Terms of Service.

Portraits & Events

1. Sessions and coverage

Jema Studios provides portrait sessions (studio and on location) and event coverage as described in your selected package and invoice. Each package defines its duration, the number of looks or setups, the number of people, and what is delivered.

2. Booking and confirming

To book: you choose a session or coverage, we issue an invoice, you pay the deposit, and your date and time are confirmed and held. A time slot is only held once the deposit is paid.

3. Deposit and payment

A 30% deposit reserves your session and is non-refundable. The balance is due no later than 7 days before your session or event. A booking made inside 7 days of the date is paid in full, upfront. Payments are in the currency shown on your invoice.

4. Your session: time, looks and arrival

Each package has a set length (for example a studio session of 45 to 120 minutes) and a set number of looks, backdrops and people, shown on the rate card. Your session time begins at the agreed start. Please arrive on time; late arrival reduces your session, as the studio and team are held for the booked window and later bookings cannot be pushed. Extra time, looks or people beyond your package are available at additional cost when the schedule allows.

5. Wardrobe, props and minors

You are responsible for your own outfits, styling and any personal props, unless your package states otherwise. For family, graduation and children's sessions, a parent or guardian is responsible for any minors present throughout the session.

6. What's included and delivery

You receive the number of edited images stated in your package, plus, where stated, the unprocessed frames. Unprocessed frames are typically delivered within 7 working days and your edited gallery within 14 working days, with the exact timeline confirmed on your booking; sessions are delivered faster than weddings. One revision round is included where a package involves a film or edited sequence; further revisions may affect timelines and can carry a cost.

7. Editing and retouching

Every delivered image is edited in our signature style, with colour, exposure and cropping. Packages marked R# include that number of detailed retouches; additional retouching is available at extra cost.

8. Rescheduling and no-shows

A reschedule requested more than 3 months before your date is permitted subject to availability, with your deposit carried over. Within 3 months of your date, a cancellation forfeits the deposit and rescheduling is at our discretion. A no-show, or arrival too late to complete the session, is treated as a cancellation within the window.

9. Publication and portfolio use

Jema Studios may feature selected work on its website, journal, social media and printed portfolio, based on storytelling value and brand alignment. Publication is not guaranteed unless included in your package, and where included follows the same terms as our wedding work. The Studio retains editorial control; publication does not transfer ownership.

10. Copyright and licence

Jema Studios retains copyright of all images and video. You receive a personal-use licence for social sharing, printing, personal archiving, albums and gifts. Commercial use requires written permission.

11. Liability and force majeure

We are not liable for events beyond our reasonable control, including illness, emergencies, equipment failure despite reasonable precautions, venue restrictions, weather affecting outdoor sessions, or government restrictions. Our maximum liability shall not exceed the total fees you have paid.

12. Agreement

These terms, your invoice and any written addendum form the agreement for your session. Paying a deposit, or any payment, confirms your acceptance of these Terms of Service.
